Cultural Exchange Organization (Billing Assistant) New York, USA

Job Description:
InterExchange is currently seeking a Collections & Billing Assistant to facilitate the smooth collections process of outstanding Accounts Receivable related to five distinct cultural exchange programs. This position reports directly to the Director of Finance. The Collections & Billing Assistant is responsible for the reporting for Collections and supports the Billing Coordinator throughout the billing process. The candidate selected for this position must have the ability to interact with various levels of management and teams. They must also be able to demonstrate professionalism, tact and the ability to maintain accuracy under time constraints.

Responsibilities include:
• Preparing scheduled Accounts Receivable reports and providing them to the Director of Finance.
• Assisting the Billing Coordinator with all aspects of the Billing Process.
• Assisting with processing daily mail received.
• Working as a liaison between customers and program team members ensuring that outstanding accounts receivable are received when due.
• Providing customer support to for all billing inquires.
• Analyzing customer information monthly, reviewing aged accounts receivable for delinquent accounts and initiating the collections process.
• Initiating and participating in data clean up projects.
• Assisting with data collection for year-end audit.
• Communicating with Collections Agency, providing them with delinquent customer accounts for collections.
• Providing occasional backup assistance to other Finance team members, which requires a well-rounded knowledge of QuickBooks, Accounting, and other Finance related matters.

Job Requirements:
• 2-3 years experience in Collections and Billing
• Strong verbal and written communication skills
• Ability to handle a high volume of repetitive transactions on a daily basis
• Ability to handle multiple tasks, prioritize responsibilities and proactively identify and resolve problems
• Ability to identify and implement process enhancements
• Excellent reconciliation/balancing skills
• Strong time management skills
• Exceptional organizational skills
• Ability to work independently as well as part of a team
• Capable of adapting to changing priorities
• Must love working with numbers
• Superior computer skills, strong Excel & QuickBooks skills

Candidate profile:
Must have a proactive, inquisitive nature with the confidence to make tough decisions to carry out policies and procedures for the better of the department/company.
Problem solving skills are key to the success of this position. This role is responsible for providing reports that are used internally to facilitate company wide decision-making. Questions may arise about the reports and these would need to be researched and resolved.

• Lifting: 0-25 lbs
• Frequency of lifting: infrequent

Visual, Hearing, Dexterity & Mental Demands:
Adequate to perform the essential functions of the job such as using a telephone, answering emails, filing paperwork, viewing a computer screen, and operating office equipment.
Working conditions:
The duties and responsibilities are generally performed in an office environment. The position generally involves frequent standing; continuous sitting; frequent walking; light to moderate lifting; light carrying; frequent bending and reaching; keyboarding and telephone operation; in-person communication.
