Development Associate - Chicago Opera Theater (Chicago)

Position Description:

The Development Associate will play a role as a key team member of three development staff in raising critical revenue and awareness for Chicago Opera Theater (COT). The Development Associate is responsible for the management and maintenance of the Tessitura donor database, gift entry and donor acknowledgement, direct mail program, coordinating and managing logistics of special events, and will serve as general organizational support to the Development Department. This position demands an energetic, hard-working individual who will be able to facilitate partnerships with donors, volunteers, and staff. This position reports to the Director of Development.

Primary Responsibilities:

1. Manage and maintain Tessitura donor database, process all gift entry and donor acknowledgements, ensuring accurate coding and entry into donor database.
2. Execute annual fund/direct mail program, including e-fund raising and social media initiatives.
3. Distribute daily and weekly department fund raising reports.
4. Coordinate planning of major COT events, including but not limited to the annual Gala, Opera Underground and cultivation events. This includes marketing sponsorship opportunities, event logistics, volunteer plan, coordinating mailings and marketing efforts, managing event registration and event follow-up.
5. Collaborate fund raising efforts with COT development and marketing staff to ensure that upcoming events are strategically publicized among target audiences and work with marketing firms and printers as appropriate to ensure timely production of event materials.
6. Work with the Director of Development to identify prospects for further cultivation and engagement from the pools of event attendees.
7. Supervise Development Intern and Special Event Intern.
8. Serve as Department staff liaison for Opera Underground Executive Council.
9. Communicate directly with donors as needed to successfully process gifts and pledge payments.
10. Generate routine correspondence for the department, including Board and Development Committee Meeting invitations, agendas, attendance tracking and distribution of minutes where appropriate.
11. Adhere to all policies and procedures of the development department.
12. Perform other duties and special projects as assigned.
13. Through these activities demonstrate an understanding of and commitment to Chicago Opera Theater's mission to produce rarely performed opera and arts education programming, to practice these values in relations with donors and internal and external customers.
